Office Manager. In partnership with its client, Kenny-Whelan & Associates is recruiting for a Office Manager for the South Dublin area. Profile of Role: Support and assist the Operations Manager in the day to day running of the Operations Department ensuring the Company offers the best quality of service to all customers. The Office Manager will be responsible for identifying and preventing discrepancies and helping set up control systems in accordance with guidelines and procedures. DUTIES & RESPONSIBILITIES: Support the Operations Manager in the Contracts department. Complete all customer handling requests received in advance of a 24-hour window. Provide an exceptionally high level of customer service, ensuring customer requests are processed in a professional and timely manner. Identify and eliminate opportunities for customers to delay payment. Reporting any issues to the Operations Manager on a timely basis. Maintain AS400 Fleet tracking and maintenance systems. Making sure all units on hire and off hire have been recorded correctly. Raise all CAPEX requests and obtain relevant authorisation. Coordinate customer requirements and liaise with third party suppliers to ensure correct and appropriate delivery of service. Supervise and monitor the Credit Control department, Service department and Accounts staff. Manage office budgets alongside the Operations Manager producing a weekly credit report and submitting this for review to the Operations Manager. Ongoing improvements, implementing and maintaining procedures and office administration systems. Dealing with correspondence, complaints and queries. Raise hire contracts as advised by the Operations Manager and ensure all policies and procedures are adhered to. Paying close attention to deposits and required authorised signatures prior to advising transport department to proceed with the delivery. Preparing letters, offers, presentations and reports. Cover and oversee the Accounts and Service departments when required. Carrying out Ad hoc duties as required by senior management. EDUCATION. Diploma in Business Studies or equivalent. Advanced ECDL. Accounting Technician qualification desirable as dealing with accounts & credit control issues. Experience, Skills and Knowledge required: Minimum 5 years in a similar role. Accounts background very desirable. Previous experience in pharmaceutical, food or similar industry. Proven experience of managing staff. Ability to communicate clearly and effectively at all levels. Ensure Health & Safety regulations are observed. Provide the highest level of customer service and courtesy throughout. Alert immediate superior to significant problems in good time.
