Service & Maintenance Department Senior Administrator. Report to: Service & Maintenance Director and Technical Services Director. Salary: €30k per Annum (Negotiable depending on relevant experience. Location: Kildare. Purpose: This is a full-time post as a Senior Administrator within our Service & Maintenance Department. Direct reporting into the Service & Maintenance Director and Technical Services Director. Key responsibilities: Senior Administration role which will include co-ordinating the Service & Maintenance Administration Department. Management of the various administration functions including delegation of works and ensuring follow up by 2no administration staff within the Department. Overseeing the engineer’s schedules on a daily and weekly basis. Ensuring all Service & Planned Maintenance projects are logged in a timely manner through our FieldAware service system. Working with the Maintenance administrator to ensure that maintenance visits are scheduled as required, maintenance reports are closed off by site staff and reports and/or recommendations are issued to Client in a timely manner. Overseeing functions of the Service Department including but not limited to: scheduling of service works, follow up on closure of service reports, issuing recommendations and quotes to Customers in a timely fashion, sourcing and ordering of spare parts, booking in service works with customers, arranging service callouts and ensuring client SLA’s are met. Managing various different Client portals and ensuring information is submitted to same in an accurate and timely fashion. Overseeing the invoicing function of the Department. Qualifications needed: Proficiency in all Microsoft Packages. Excellent computer skills. Experience in Sage Accounts/Sage Construct is not necessary but would be an advantage. Experience: Worked in a Service Co-Ordinator position. Ability to meet deadlines. 3 years’ experience in a similar Customer Service roll. Need to be: Strong customer service skills. Team player. Highly organised. Self-starter and motivated. Work on own initiative. Strategic thinker. React well to pressure. Good communicator. Accurate. Trusting and honest. Job Type: Full-time, Permanent.
